Center of Grace seeks bilingual admin assistant

We are looking for a bilingual (English/Spanish) responsible Administrative Assistant to perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include assisting in daily office needs, managing our organization’s general administrative activities, and providing service to our community.

  1. Reliable presence at the Center during office hours (M-F, 8:30 am-12 and 1-4 pm) to greet and assist clients and visitors and share information about the Center and other community resources; answer the phone and, review and refer or respond to mail, voicemails, and email messages.
  2. Prepare deposits slips
  3. File invoices/records. Keep up to date
  4. Create and maintain all forms needed for administration and programs
  5. Manage calendar reservations on the calendar for programs/activities at COG
  6. Coordinate logistics for events for programs and events including taking donations, sorting, recommending distribution plans, scheduling appointments, updating related databases, and managing resource distributions to clients for activities such as, Shoe Fund, school supplies, holiday gifting, etc.
  7. Schedule and coordinate JCCC dental appointments for their mobile van at COG
  8. Schedule building inspections (boiler, fire alarm, extinguishers, kitchen hood suppression, etc.)
  9. Maintain Center of Grace volunteer database
  10. Attend and represent the Center at community resource fairs when needed
  11. Other duties as assigned


  • Proficiency in oral and written English and Spanish
  • Demonstrated experience as an Administrative Assistant or Office Manager
  • Knowledge of basic bookkeeping, office management systems, and procedures
  • Working knowledge of office equipment, including printers and copiers
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
  • Excellent time management skills and the ability to prioritize work
  • Accuracy, attention to detail, and problem solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task
  • High School diploma; additional qualifications as an Administrative assistant or Office Manager will be a plus.

This is an hourly position. Salary Range: $15 – $17.50/hour, depending on experience.
